Projects

Projects help you track the expenses that are associated with a project. You can create a project, then associate is with the project-related expenses. If you’re doing a project for a customer, you can also associate that customer with the project related expenses and mark the expenses as billable. 

If your projects list is long, it might be better to have the Projects list in the GL Code area.  The GL Codes area has a search option that the Project field does not support.   

For integration to an accounting software it would need to be only the code in this field not with a description. Another reason for moving it into the GL Code area. 

To view the Projects list available in the ExpensePoint™ system, go to Settings Manager module from the top of your ExpensePoint™ app. 

Then click on the Projects from the left side navigation menu.

If your company plans to integrate with an accounting software it will be best to lock the Projects and only have a global list of Projects.  To disable Personal/Private Projects for the user, go to User and Group Manager module, double click on the User then go to Permissions tab. From there check the box to disable the Private Projects

From here you can: 

  • Add projects 
  • Edit Projects 
  • Delete Projects 

 

Projects can be a list of customers, Jobs, or simple Yes or No question. Could be list, manual entry or both. 

Note: If the Projects list is very long, a better fit for your company may be to have the Project list in the GL Code area.  It gives a search option that the Project field does not support.   

When Submitters, edit their Expense, they can click on the pencil icon form the GL Code field. 

The GL Code Editor will open and Submitters, can select the Project from the Job Code field. 

By clicking on the Search icon from the Job Code field, users can search for a Project name by typing a keyword. 

If you have an accounting integration, the Project would need to be only the code, without any description. Another reason for moving the Project into the GL Code area.
